About the Position

The Production Coordinator shall be responsible for the audio/visual production of each Wanderlust event, including, but not limited to, working with Wanderlust staff to inventory and maintain existing Wanderlust audiovisual equipment, identifying all staging, sound and lighting requirements for each event, liaising with venues on on­site production capabilities, equipment and facilities, advancing technical requirements with artists, teachers, speakers and performers, sourcing necessary equipment and labor at best available rates, overseeing the load-­in, setup and load-­out of production equipment, and ensuring production is implemented safely, on schedule, and in accordance with high quality professional standards for audio/visual productions. While on­site at the event, the Production Coordinator shall manage the audio/visual production of the event, including communicating and implementing stage schedules, directing hired labor and ensuring the talent is able to perform as expected.

Duties and Responsibilities:

  • Develop set up, event, and breakdown schedules based on event needs and accessibility
  • Advance technical requirements with Programming talent as necessary
  • Troubleshoot on-event situations as needed
  • Assist in management of production budgets and expenses by following Event Department guidelines
  • Complete event post mortems for improvements and efficiencies
  • Perform complete and regular repairs and maintenance to audio/visual equipment and other wanderlust items
  • Assist in management of warehouse and event inventory recording and resupply


  • Possess a minimum of 3-5 years experience in production management including at least 3 years managing large-scale events, logistics and execution
  • Experience scaling an event series globally; possess business development skills
  • Experience and interest in creating new operational systems and strategies within a growing company
  • Able to work quickly and efficiently on several projects at one time in an organized fashion
  • Strong written and oral communication skills; ability to write professional emails
  • A strong project management, technical and logistics background is required
  • Proficient at troubleshooting issues that may arise in the moment; approaching these situations with curiosity and always seeking to improve and grow
  • Ability to lead small to large groups of staff, vendors, contractors and labor forces
  • Ability to make timely decisions keeping in mind the best interests of the company, guests, and staff
  • Ability to lift 50 pounds and work in outdoor environments
  • Experience with operating various machinery and vehicles; Forklift certification a plus
  • Willingness to travel as needed including trainings, site-visits, required meetings, and events
  • Willingness to work evenings, weekends and holidays
  • Proven competency with Google Earth, Microsoft Office, Adobe Acrobat and other technology as adopted by the team

Work Environment:

  • Average weekly workload is between 50-60 hours, but may commonly require long hours including evening and/or weekend hours throughout the year
  • When on event, employees may be exposed to adverse weather conditions and long on-site hours
  • When traveling on event, employees will share hotel rooms, flights, buses, and cabs depending on event site and travel required.
